What's new in version 5.10
New Campaign Manager Module
This new module adds exciting new planning, reporting and management dimensions for any company which is serious about analysing and developing their marketing activities. This new module builds on the mail merge and lead source management capabilities of ProspectSoft CRM by allowing each Campaign and each individual marketing activity to be planned, tracked and anaylsed.
Contact Selection Wizard
For mailers and e-shots, there is a powerful wizard that allows you to select the most appropriate and best targeted contacts. The wizard allows you to automatically exclude contacts that have opted out of your e-shots or mailers. It also ensures that you don't accidentally send follow-up mailers to contacts who have already responded to a campaign. Integration with the updated mail merge wizard makes the mail shots and e-shots easy to action.
Updated Mail Merge Wizard
The mail merge process has been completely rebuilt with a new Wizard process, making sending mail shots and e-shots a breeze. Greater flexibility in selecting contacts and improved recording of who was sent which mail piece helps you target the right contacts with the right information. This mail merge wizard can be used not just for sales and marketing activities but also for sending customer service and support announcements. Maximum mail merge flexibility and analysis is gained when using the Mail Merge Wizard in combination with the Campaign Manager module.
Updated and Expanded Outlook Integration
By default, Outlook will be used as the ProspectSoft CRM email editor. This provides all the standard Outlook functionally for emails, combined with tithe benefits of standardized email templates within ProspectSoft CRM.
New HTML Email Templates
When creating new document templates, you can now use HTML formatting to create email templates (plain text can still be used). The HTML email content can include any search and replace fields, including custom fields.
New Quick Email Functionality
The new "Quick Email" buttons on contact, lead and problem detail windows allow you to instantly create a new email for sending to the current contact.
New PDF Email Attachments
A new option in the search and replace reports Admin table allows you to define reports that should be attached to generated emails as PDF attachments. This provides the ideal way to generate HTML quotation emails with the quotation detail attached in a PDF document. This method allows for fast creation of very small footprint PDF documents while the standard report writer functionality allows for plenty of scope for customisation of the PDF output format.
New Document Standard Text admin table
A new admin table has been created to allow you to create blocks of text that can be easily included in both email and Word or Excel standard documents. These blocks of text can be used for a variety of useful purposes such as email disclaimers or signatures, as well as standard marketing messages that can be quickly updated. The text created in the Document Standard Text admin table can even include ProspectSoft CRM search and replace fields which are populated when the document is created.
Updated Save to CRM Outlook Plug-in
The popular "Save to CRM" plug-in for Outlook has been completely rewritten. Macro, Certificate or Outlook security warnings have been eliminated and the plug-in now offers you the chance to save an email with or without attachments.
New "Contact Lookup" Outlook Plug-in
When writing an email in an Outlook form (either creating an email directly in Outlook, replying or forwarding an existing email, or when creating an email using a ProspectSoft Email template) this extremely useful outlook plug-in allows contacts to be selected from the ProspectSoft CRM database and their email address to be imported into the To, CC or BCC boxes.
New Email Bounce Back Outlook Plug-in
This totally new Outlook Plug-in processes bounce back emails to remove bounce back email addresses from your database. Bounce backs are generated when email addresses have been either incorrectly entered or the contact no longer has this email address. The wizard will automatically remove these invalid email addresses and/or produce a report in Excel before completing the processing. The wizard can process a single email or search an entire Outlook folder for all bounce backs.
This plug-in, along with the New Unsubscribe plug-in works great alongside the update Mail Merge Wizard and the new Campaign Manager module.
New "Unsubscribe" Outlook Plug-in
This new Outlook Plug-in is similar to the "Bounce Back" plug-in and will detect unsubscribe emails (with unsubscribe in the title) and use these to un-tick the e-Mail flag on each contact record.
As with Bounce Back Plug-in, this wizard can process a single email or search an entire Outlook folder for all unsubscribe emails, and will produce an Excel report of the updates.
Updated Send to Email
Earlier versions of ProspectSoft CRM allowed the user to send a report to a colleague, customer or supplier via email by simply opening the report and selecting File, Send to, mail Recipient. Now the resulting HTML email automatically uses CSS (Cascading Style Sheets) to ensure that emailed reports look better and retain more of the original formatting. This new option also allows the report to be sent as a PDF attachment to maintain the original formatting (excludes charts).
Updated and Expanded Excel Integration
The Send to Excel (as data) option in the "File" menu has been updated to include column headers in the data that is sent to Excel. The process also uses the XML definition defined in Infomaker, which allows computed fields to be specifically included in export formats.
The "Send to Excel" (as Displayed) option has also been made significantly more efficient and can handle much larger volumes of data.
New Send to Excel as Pivot Table
Alongside the previously available "Send to Excel" options is a new "Send to Excel" (as Pivot Table) option. This sends the current report or list (e.g. in a tab) to Excel and automatically triggers the Pivot Table Wizard, providing an easy way to perform complex analysis of the data in the form of an Excel Pivot Table.
New Send to Excel as Pivot Chart
This Option works just like the Excel Pivot Table option but formats the data as an Excel Pivot Chart for graphical data analysis.
Quotation Enhancements
As well as the quotation possibilities with the new HTML and PDF email formats, there are several enhancements to the quotation system in version 5.10.
New system option: "Auto accept quotation header"
For many PropspectSoft users, order taking speed is of primary concern. A new system option has been added that allows the quotation header information to be automatically accepted.
The option of avoiding this (sometimes) unnecessary mouse click will improve the efficiency in a pressured telesales environment.
Opera Order confirmation Due date is now first field
The due date field is now the first field in the order confirmation window when integrated to Pegasus Opera. By making it the first field, users are more likely to check the due date and set it appropriately and consequently reduce costly errors.
Overall discounts & settlement discount
Version 5.10 includes support for the calculation of Pegasus Opera Overall (Invoice) discount and Settlement discounts when creating quotations or taking orders. The Overall discount and Settlement discounts are taken from the default for the sales ledger. The user can amend the discount if required when creating the quotation.
